In this group of Cards you enter employees, by name, and can select days off that an employee may have requested off as well as how many shifts they should be scheduled for. In order for an employee to make it to the schedule their name must appear in this stack or in the stack for Requests On.
Seniority: On the bottom of the card, a number appears showing which is the first card etc. for the total number of cards. This is a relative way of indicating seniority in that when the ScheduleBrain begins to make the schedule, it looks at the first card of this stack to determine if this person can work this shift on this day... . If not, it goes to the next card, and so on, flipping through the cards in order from top to bottom of the stack. So, if you want the employee with the most seniority or priority to be considered first in the scheduling process - put their card at the top of the stack.
NAME: A first and Last Name is preferable. Scheduler will take the first initial of the first name and first initial of the last name when making the schedule. Therefore Tom Jones will appear as TJ in the Schedule. Though TJ and tj are identical to Hypercard. They appear as different as night and day to the ScheduleBrain that does the calculating. So if you have an employee named 'Tom Jones' and one named Tim Johnson, you should mix up the upper and lower case of the first letters of the first and last name in order to keep them seperate. In other words, you could keep them from looking like the same person to the scheduleBrain by indication one as 'Tim johnson' and the other as Tom Jones. (they will look like Tj and TJ to schedulBrain - 2 completely different people).
To the Right of the Name is a Set of Check Boxes. This is where you set which days off a person wants. Before selecting which days off someone wants off, be sure the 'Data Field' on the upper left of the card is cleared by selecting the 'Clear Data Field ' option under the OPTIONS menu. Now, For example, if Tom Jones wants the A shift of the 3, 4, and 5 of May off... click the A box, then click the boxes for the third, fourth and fifth. If They want both A and B shifts off for these days then click both A and B etc. When your done selecting the days he wants off ... click the button on the upper right hand of the card for ''Click here to add Days off to the Data Field". You may then click the check boxes to deselect them or clear all the boxes by selecting 'Clear all Buttons' under the Options menu. At this point you can continue to add days requested off, by selecting other check boxes as above, and appending them to the data field by using the button Click here to Add Days Requested Off'.
If this employee has no particular requests for days off, then leave the data field blank (if it's not blank - clear it out by selecting 'Clear Data Field' in the Options menu).
On the Lower Half of the Card is where you specify how many shifts this employee should be scheduled for. For example ... If you Schedule 3 shifts a day (A, B, C A... being 8-4pm , B being Noon to 8pm and C being 4pm to 11 pm) and Tom Jones is supposed to work 23 weekdays and 4 weekend shifts this month but no night shifts ( indicated as type C) on the weekends then you might set the number of shifts as follows
Dividing the weekday shifts somewhat equally as
A - 9 B - 9 C - 5
And setting the Weekend shifts as
A - 2 B - 2 C - 0
NOTE: If Tom Jones had also specifically requested to work the day shift (A) on the 12th and 13th (weekdays this month) and you've made a card in the SET REQUESTS ON to specify this... then deduct these from the number of A shifts you have to schedule -- because you are going to put him there anyway... There's no sense in making scheduler count them down... Now the Weekday Shifts would look like
A - 7 B - 9 C - 5 (<--- A is reduced by 2 , for the number you are
(going to select in the SET Requests ON).
Lastly, If you don't want to include this person in the Schedule for this month, but want to keep a card on file for next month (this is helpful for part time employees who work sporadically) click the box for 'Omitting from the Schedule' and Scheduler will skip them when making the schedule.
